Registration & Cancellation Policy   

OLLI membership provides access to a broad range of educational programs, events, activities, tours, and other opportunities throughout the membership year. While many offerings do not require advance sign-up, select programs, activities, tours, workshops, special events, and other limited-capacity opportunities may require advance registration or lottery sign-up and/or an additional fee.

This policy outlines expectations for registration-required offerings, including cancellations, attendance, no-shows, and fee-based opportunities. These guidelines are intended to promote equitable access, support effective planning, and ensure responsible use of limited-capacity opportunities.

Changes and Cancellations by OLLI

OLLI offerings may occasionally need to be canceled, postponed, rescheduled, relocated, or otherwise modified due to presenter availability, enrollment, facility limitations, weather conditions, transportation considerations, or other unforeseen circumstances. When a registration-required offering is changed or canceled, OLLI will make reasonable efforts to notify registered members as soon as practicable.

  • Registered members will be notified by email and, when applicable, by text message if they have opted in to receive OLLI text alerts.
  • When feasible, OLLI may offer an alternative session, program substitution, waitlist priority, or other appropriate accommodation.
  • Changes and cancellations may also be communicated through OLLI electronic communications, including e-blasts and the OLLI Weekly.

Member Cancellations and No-Shows

Registering for a limited-capacity offering represents a commitment to attend. OLLI relies on registration information to plan for space, materials, staffing, transportation, and other resources. When a registered member does not attend and does not notify the OLLI office, that space may go unused and another member may lose the opportunity to participate.

To promote fair and equitable access:

  • Members who are unable to attend a registration-required offering are expected to notify the OLLI office as soon as possible. Whenever practical, cancellations should be made at least three business days in advance.
  • Advance notice allows OLLI to offer the available space to another member, particularly when an offering has reached capacity or has a waitlist.
  • A registered member who does not attend and does not provide notice to the OLLI office will be recorded as a no-call/no-show.

Repeated No-Call/No-Shows

Two no-call/no-shows during a membership year will result in the temporary suspension of registration privileges for OLLI offerings requiring advance registration or lottery sign-up. The suspension will remain in effect for one year from the date of the second no-call/no-show.

During the suspension period, the member may continue to participate in OLLI programs, events, and activities that do not require advance registration or lottery sign-up. At the conclusion of the one-year suspension period, the member’s eligibility to register for these offerings will be restored.

Emergencies and Extenuating Circumstances

OLLI recognizes that emergencies and other extenuating circumstances may prevent a member from attending or providing advance notice. Members should contact the OLLI office as soon as reasonably possible when such circumstances occur. Exceptions to the no-call/no-show policy may be considered on a case-by-case basis by OLLI administration.

Fee-Based Offerings

Refund eligibility for fee-based programs, activities, tours, and other offerings is determined separately from the no-call/no-show policy and is subject to applicable cancellation deadlines, offering-specific requirements, and any non-refundable expenses incurred by OLLI.
